Summary of role

Role

The First Impression Assistant's principal role is to provide clients and guests with a friendly and professional welcoming, answer the telephone and take meeting room booking enquiries. This role is responsible for ensuring that meeting rooms are set up correctly for use throughout the day and assisting staff and visitors using the facilities. This role reports into the Front of House Manager.

Responsibilities

This roles main duties will include, but are not limited to, the following:

  • Meeting, greeting, and interacting with visitors
  • Switchboard call handling
  • Internal call handling including taking and passing on accurate messages
  • Processing and confirming meeting room booking requests
  • Meeting room set up and hospitality 
  • Ordering, organising, and assisting with hospitality and events
  • Setting up audio visual systems and trouble-shooting problems
  • Populating data collection workbooks
  • Participating in an office rota within the First Impression Assistant team
  • Support areas of the business when required
  • Actioning any reasonable task instructed by the Front of House Manager
Skills and experience

A First Impression Assistant also has a responsibility to ensure that their skill set is up to date and they are familiar with the Firm’s departments, key personnel, clients, internal systems and procedures.  This will ensure that the First Impression Assistant is able to carry out his or her role effectively and, where appropriate, discuss any training requirements with the Front of House Manager. In addition to this, they should have:

  • Excellent telephone manner and competent knowledge of telephone system
  • Excellent communication, organisational and team skills
  • Experience using email and Microsoft packages
  • Flexible and dependable, able to take the initiative

  • Able to quickly build confidence, respect and trust with others
  • Excellent personal presentation
